Privacy Policy
Effective October 22, 2026
- We contact business professionals on behalf of companies that exhibit at trade shows, to set up sales meetings.
- We use business contact details: your name, title, company, work email and phone number.
- We never sell personal information.
- We record calls only after you say yes.
- If you ask us to stop calling or emailing, we stop the same day, for every company we work with.
- To opt out or ask about your data, email christopher@showboundmeetings.com.
1. Who we are
Showbound Meetings LLC ("Showbound Meetings," "we," "us") is a Florida company based in Hollywood, Florida. We book sales meetings for companies that exhibit at trade shows (our "clients"). This policy covers this website, our booking page, and the outreach we do for our clients.
When we contact you for a client, we say who we are and who we're calling for. For that outreach, our client decides why your information is used, and we handle it on their instructions under a written agreement. Our client's own privacy policy also applies to how they use what we share with them.
2. What we collect
| Who | What | Where it comes from |
|---|---|---|
| Website visitors | Basic technical data such as IP address, browser type and pages requested | Your browser, through our hosting and security provider and the web font service the site uses. Our site does not set advertising or tracking cookies. |
| People who book a call with us | Name, email, company, job title, phone number, the show you're exhibiting at, and anything you choose to tell us | You, through our Google booking page or by email |
| People we contact for our clients | Name, job title, company, work email, phone number, city or state, time zone, and the company's size and industry | Our client (for example, badge scans from their booth, or a show registrant list the client rented and gave us permission to use), business contact databases, and public sources such as company websites and professional profiles |
| People we speak with | Notes from the conversation, meeting times, call dates and outcomes, your opt-out requests, and, only if you agree, a recording or transcript of the call or meeting | You, during the call or meeting |
We do not ask for sensitive information such as government ID numbers, health information or financial account numbers.
3. How we use it
- To contact you by phone, email or LinkedIn about our client's products or services, or about our own services
- To schedule meetings and send reminders
- To prepare a short summary for the client's salesperson before a meeting, so the meeting is useful to you
- To keep accurate records, check meeting quality and resolve disputes with our clients
- To honor do-not-call and unsubscribe requests and follow calling laws
- To run and protect our website, systems and business
4. Call recordings and AI tools
At the start of a call we tell you if we'd like to record or transcribe it, and we only do so if you say yes. If you say no, we turn recording off. Meeting notetakers are named in the calendar invite and confirmed at the start of the meeting.
We use software, including AI tools, to transcribe calls (with your consent), write call notes and draft meeting summaries. A person on our team reviews anything before it is shared with a client. We use providers whose business terms do not allow them to train their models on our data. We do not use AI-generated voices on calls.
5. Who we share it with
- The client we contacted you for. If you agree to a meeting, we share your contact details, the meeting details and what you told us with that client so they can prepare. A client only receives information from its own campaign.
- Service providers who help us run the business, such as our email and calendar provider, website host, database and software providers, phone and dialer provider, transcription provider, and payment processor. They may use the information only to provide services to us.
- Legal and safety reasons, when the law requires it, to protect rights and safety, or as part of a sale or reorganization of our business.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
6. How long we keep it
- Data a client gives us for a campaign is deleted 30 days after that campaign ends.
- Do-not-call and unsubscribe requests are kept for at least 5 years so we keep honoring them.
- Call logs, consent records and scripts are kept for 5 years so we can show we followed calling laws.
- Recordings follow the client's retention schedule and are not kept indefinitely.
- Other information is kept only as long as we need it for the purposes above.
7. Your choices
Stop calls, emails and messages
Tell the person you're speaking with, reply to any of our emails, use the unsubscribe link, or email christopher@showboundmeetings.com. We add you to our do-not-contact list the same day, and it applies to every client we work with. Email unsubscribes are always processed within 10 business days, and usually the same day.
Access, correction and deletion
You can ask what information we have about you, ask us to correct it, or ask us to delete it. Depending on where you live, including California, Colorado, Connecticut, Virginia, Texas and other states with privacy laws, you may have rights to know, access, correct, delete and port your data and to opt out of its sale or use for targeted advertising. We'll honor these requests whether or not your state's law applies, unless we need to keep something to follow the law (for example, your do-not-call request). We'll verify your request by matching it to the contact details we have, and we won't treat you differently for making it. You can also have an authorized agent make a request for you.
To make a request, email christopher@showboundmeetings.com with "Privacy request" in the subject. We'll respond within 45 days.
8. Security
We use access controls, two-step sign-in, encryption in transit, and per-client separation of data. Each person on our team sees only the campaigns they work on. No system is perfectly secure. If a breach affects your information, we'll notify you and our clients as the law requires.
9. People outside the United States
We are based in the United States and store information here. If you're in Canada, we email you only with consent or where Canadian law allows it, and you can withdraw consent at any time.
10. Children
Our services are for businesses. We do not knowingly collect information from anyone under 16.
11. Changes
If we change this policy, we'll update the date at the top. If a change materially affects how we use your information, we'll give notice on this page before it takes effect.
